Here are the available positions for you to get involved with TEDxVCU. If you’re ready to apply for a Lead position (including Director of Photography, Executive Producer, Webmaster, Stage Manager, Event Manager, Volunteer Manager, and Outreach Liaison), fill out this form. All other positions, fill out this form. Some positions have portfolio or personal writing sample requirements.

Communications Team

Communications Lead (1 position available)

Responsible for the coordination and execution of communications & marketing related duties. Works with Executive Producer, Design Lead, and other organizers to ensure the TEDx and TEDxVCU brand messages are enforced. Responsible for making sure videos are published and accepted by TEDx team after the event. Must know and understand TED branding, copy/messaging and social media requirements.

Social Media Lead (1 position available)

Responsible for all communications via social media networks while representing TEDxVCU. Set up daily activity for all social media outlets. Develop as well as execute innovative and creative media content that represents TEDxVCU across the social media platforms. Report to Communications Lead and collaborate with all content creation team members to ensure a cohesive social media identity. Must know and understand TED guidelines on social media.

Social Media Assistant (3 positions available)

Responsible for publishing communications via social media networks while representing TEDxVCU. Set up daily activity for all social media outlets. Develop as well as execute innovative and creative media content that represents TEDxVCU across the social media platforms. Must know and understand TED guidelines on social media.

Marketing Lead (1 position available)

Responsible for external communications including public relations, newsletter, advertising and promotional materials.Develops and maintains relationship with local and University press. Develops marketing/press relations strategies. Produces press releases, newsletters, event stories, and other publications relating to the event. Must know and understand the TED PR/Press/Media requirements. Writes event stories before, during and after the event.

Digital Content Assistant (3 positions available)

Create, edit and administer innovative and inspirational writing on a regular basis in the form of blogs that are relevant to the conference theme. Conduct frequent research for blog post topics. Measure and track the effectiveness of all content based on feedbacks and reviews. Collaborate with all content curation team members to ensure a cohesive online identity. Add content to the website and work with the company that manages and maintains the website to ensure all content is up to date and to our liking. Works with Marketing Lead and Webmaster. Must know and understand TED PR/Press/Media requirements.

Design Team

Design Lead  (1 position available)

Develops brand and design strategies. Works with Communications, Media Production and other organizers to ensure all TED and TEDx brand requirements and policies are enforced. Responsible for promotional materials, digital and print publications. Must know and understand TED requirements and guidelines for branding and websites.

Webmaster (1 position available)

Maintains web pages on tedxvcu.com and RamsConnect. Works with Marketing Lead to creates posts for pre and post event to inform website visitors of emerging details. Must know and understand TED website requirements.

Visual Designer (5 positions available)

Develops concepts and designs to be presentations by visual communications media such as but not limited to posters, flyers, brochures, booklets, social media banners and newsletters. Ensure all design for promotional material is consistent with the TEDxVCU branding. Collaborate with all content creation team members to ensure a cohesive visual identity. Must know and understand TED branding requirements.

Media Production Team

Director of Photography (1 position available)

Works with Event Organizer, Communications Lead and videographers to ensure multi-angle video is captured of speakers. Works with Stage Manager. Must know and understand the TED video requirements and how to manage multimedia at a TED event. Must also know and understand TED requirements for recording talks. Works with Communications Lead and Stage Manager to assure event photos are captured which represent the intention and feeling of the event. Uses creative license to capture imagery to be used on multiple websites. Must know and understand the TED photography requirements. Throughout the year, captures imagery from lead up events, socials and other events as requested.

Photographer (5 positions available)

Works with Communications Lead and Stage Manager to assure event photos are captured which represent the intention and feeling of the event. Uses creative license to capture imagery to be used on multiple websites. Must know and understand the TED photography requirements. Throughout the year, captures imagery from lead up events, socials and other events as requested.

Videographer (5 positions available)

Shoots video of event and provides Director of Photography with footage of the event at the end of the event. Works with Stage Manager. Throughout the year, captures imagery from lead up events, socials and other events as requested.

Editing Assistant (3 positions available)

Cover pre-events, post-events, and the main event. Know and understand photo editing software and techniques. Must be able to deliver quick results.

Event Development Team

Executive Producer (1 position available)

Responsible for the coordination and execution of venue logistics related duties. Works with Stage Manager to plan and execute essential functions regarding stage prep. Works with Stage Manager and Curator to coordinate dress rehearsal. Works with venue owner to ensure all requirements are met. Follows up with venue post event to ensure everything was properly addressed. Must know and understand TED venue guidelines.

Stage Manager (1 position available)

Works with Set, Lighting, Sound Designers, and Director of Photography to ensure the stage is prepared. Informs speakers on where they should stand and helps speakers get mic-up before their presentation. Must know and understand TED requirements and guidelines for stage design.

Lighting Designer (2 positions available)

Works with Stage Manager to plan and coordinate lighting. Sets up creative lighting on day of event. Controls room lights during the event.

Sound Designer (2 positions available)

Works with Stage Manager, Set Designer and other organizers to ensure sound is professionally captured for attendees and video editors.

Set Designer (3 positions available)

Responsible for the TEDxVCU stage design. Researches other TED stages and works within budget to create a functional and visually pleasing stage. Display creativity in designing the structure(s) to represent the brand and theme of the conference and gathering appropriate materials for building. Works with Stage Manager. Must know and understand TED requirements and guidelines for stage design.

Technology Manager (2 positions available)

Works with Stage Manager, Set Designer and other organizers to ensure projects are setup and operational for the event. Provides technical support before and during the event for all equipment.

Event Experience Team

Event Manager (1 position available)

Responsible for the coordination and execution of the event activities and program. Works with Executive Producer, Stage Manager, Design Lead and other organizers to create event program, gift bags, and venue directories to enhance guest experience. Responsible for set-up and take-down. Tasks may center around catering, entertainment and other event details. Must know and understand TED requirements and guidelines for event experience.

Onstage Host (1 position available)

Responsible for knowing each speaker biography and talk. Welcome guests to main event and maintain flow of presentation. Must know and understand the TED requirements and guidelines for onstage hosts.

Setup Crew (5 positions available)

Helps setup the event. May help in multiple roles from stage setup to attendee support. The setup crew of responsible for helping to transform the venue into a TEDxVCU venue on the day of the event.

Takedown Crew (5 positions available)

Helps return the TEDxVCU venue to it’s original state after the event.

Logistics & Registration Assistant (3 positions available)

Works with Event Manager to distribute and collect tickets pre-and post-event at ticket outlets. Helps ensure attendee count at the event matches the number of tickets sold. Compiles gift items for sponsors, speakers and others for attendee gift bag. Researches and orders lanyards for attendee name badges. Collaborate with Design Team to create name badges and signage. Distribute finalized program attendee list, name tags, attendee gift bag, information booth, greeters/ushers. Manage a list of attendee application database, RSVP, online ticketing registration. Compiling information and copy-ready information from other teams for event program. Must know and understand the TED admission/ticket requirements.

Talent Development Team

Curator

Develop speaker line-up. Find diverse potential speakers & encourage them to apply to speak by contacting them. Review & evaluate speaker applications to decide speakers. Works with Speaker Coaches and Liaisons to schedule rehearsals, presentation Must know and understand the TED speaker requirements, and TED presentation design guidelines.

Speaker Liaison (3 positions available)

Develops and maintains informative relations with speakers. Helps ensure speakers meet content delivery dates and speaker presentations are constructed within the event timeline. Responsible for informing speakers regarding their involvement and other obligations. Must know and understand the TED speaker requirements, and TED presentation design guidelines.

Performer Liaison (2 positions available)

Helps bring the best talent to TEDxVCU. Works with performers to assure they have signed performance agreements and understand their roles and responsibilities. Must know and understand the TED speaker requirements.

Finance Team

Finance Liaison (3 positions available)

Works with teams to process funding requests. A liaison between the Finance Team and potential sources of funding around campus. Schedule and manage funding presentations and requests to various funding pools. Maintain the TEDxVCU budget and ensure all inflow and outflows are managed. Be a point of contact internally for any costs incurred by the various units of the team. Must know and understand the TED sponsorship requirements and VCU SGA Finance Guidelines.

Sponsorship Team

Sponsorship Lead

Finds event sponsors. Responsible for researching, securing and communicating with all external sponsors. Develop and maintain relationships with sponsors. Identify sponsorship tiers and partner values. Coach other team members on how to outreach effectively and persuasively. Works with Executive Producer, Treasurer and other organizers to make the event possible. Must know and understand the TED sponsorship requirements.

Sponsorship Assistant (3 positions available)

Works with Sponsorship Lead to find sponsors. Works with Design Team to create sponsorship kit for distribution. Identify and confirm sponsors/partners willing to provide cash contributions and in-kind contributions. Create sponsorship thank you packages.

Programming & Outreach Team

Programming & Outreach Lead

Act as a liaison and representative of TEDxVCU. Increase TEDxVCU brand awareness in the various departments within Virginia Commonwealth University. Assist Communications Lead in planning and coordinating all promotional activities. Develop innovative and engaging outreach initiatives. Plan and coordinate lead up events. Plan and coordinate TEDxVCUSalon and other TEDx broadcast events.

Volunteer Manager (1 position available)

Helps assure all volunteers understand their roles and responsibilities. Maintains backup plans and schedules all volunteer efforts for all events. Responsible for making sure all volunteers have filled out application form, have agreed to terms and have signed liability waivers. Helps recruit new members.

Production Assistant (3 positions available)

Works with Programming & Outreach Lead to plan and coordinate lead up events. Provides technical support for lead up events, TEDxVCUSalon and other TEDx broadcast events. Works with venue staff to ensure all technology needs are met for each event.

Outreach Liaison (1 position available)

Helps expand the university presence of TEDx and works to strengthen collaborative relationships with departments and student organizations at Virginia Commonwealth University. Plans and coordinates tabling, presentations and other outreach events.
